JOB Description: 
ESMA is organising a selection procedure for the post of Personal Assistant within the Central Counterparties (CCP) Directorate in view of filling a new post and to constitute a reserve list. As outlined in the European Market Infrastructure Regulation (EMIR), the CCP Directorate supports ESMA’s work in promoting supervisory convergence across EU CCPs, as well as monitoring third-country CCPs (TC-CCPs) accessing the EU and, to the extent necessary, supervising the most systemic among them and thus helps safeguard the financial stability of the Union and its Member States. Reporting to the Chair of the CCP Supervisory Committee, jointly with other colleagues, the successful candidate will be responsible for supporting the Directorate’s Senior Management and staff by: • Organising physical, hybrid and virtual internal and external meetings and events, including collection, preparation and distribution of documents/contributions and providing logistic and administrative support; • Supporting management in the planning of external meetings and speaking engagements and the organisation of related external business trips and missions; • Supporting the organisation and planning, to the extent needed, of phone and video calls of Senior Managers, as well as administering their Outlook calendars/agendas with a focus on both short and long-term planning and monitoring e-mail accounts; • Taking minutes of meetings, follow-up of information flows and deadlines; • Maintaining the register of meetings and external contacts for the Directorate; • Managing documents and processes within the Directorate’s area of responsibility, including registering, distributing and filing documentation; • Supporting the preparation, proof-reading and distribution of correspondence and presentations; • Providing input to databases;Handling administrative/budget issues, including preparation of and follow-up of financial transactions (e.g. travel cost reimbursements). • Taking care of common equipment and office supplies. • Acting as central internal contact point for internal and external requests on matters falling within the remit of the Directorate; • Acting as backup during the absence of other assistants within and outside the Directorate • Providing support for any other general administrative matter which requires the involvement of the Directorate’s secretariat; and • Supporting other activities within the Directorate, as relevant.
